Case study · Loan advisory

“Has the CMA come in yet?”

VPinnacle arranges business loans for its clients through banks. Every file needs a teaser, CMA, GST returns, bank statements and collateral papers, and often goes to more than one bank. All of it was tracked across WhatsApp, email and Excel. We built one system that follows each file from first enquiry to disbursal.

The pipeline

One file, six stages, often several banks.

Every enquiry becomes an application, then a loan, then one bank application per lender it goes to.

  1. 0148LeadsEnquiries from partners, referrals and direct
  2. 0226ApplicationsDocuments collected and the applicant assessed
  3. 0321LoansAmount, loan type and salesperson fixed
  4. 0419Bank applicationsLogged with one or more banks
  5. 0511SanctionedApproved by a bank, terms agreed
  6. 068DisbursedMoney released, commission due

Files open in one month, illustrative.

The problem

Four things that slowed every file.

A business loan file passes through the borrower, a channel partner, VPinnacle’s credit team, valuers, advocates and one or more banks. None of them were looking at the same record.

  • Documents chased in chats

Teasers, CMAs, GST returns and bank statements arrived on WhatsApp and email, often in several versions.

No one knew which version was final

  • One file, many banks

A file went to several banks at once, and each bank’s status lived in a different sheet.

    Status updates depended on memory

  • Collateral in folders

Valuation reports and legal scrutiny reports sat in folders, separate from the loan they belonged to.

Sanctions held up waiting on an LSR

  • Commissions worked out by hand

Channel partner payouts were calculated after each disbursal from spreadsheets.

Partners calling to ask what they were owed

One file could be at three banks at once. Its status was whatever someone remembered.
Partner, VPinnacle

What we did

We followed one file from enquiry to disbursal.

We mapped VPinnacle’s loan processing SOP stage by stage, with the documents each stage needs. When the SOP changed during the build, the system changed with it.

The life of one loan file

  1. BeforeEnquiryLeads from partners and referrals noted in a shared Excel sheet
With FaxtorEnquiryEach lead gets a profile with source, region, channel partner and timeline
  2. BeforeDocumentsTeaser, CMA, GST returns and bank statements chased on WhatsApp and email
With FaxtorDocumentsA checklist per lead. Every document is requested, received and verified in the record
  3. BeforeBank submissionThe same file sent to several banks, each tracked in a separate sheet
With FaxtorBank submissionOne bank application per lender, each with its own status, reference and remarks
  4. BeforeCollateralValuation reports and LSRs saved in folders, with no record of who was handling them
With FaxtorCollateralValuation, LSR and the assigned valuer and advocate tracked against each property
  5. BeforeDisbursal and commissionChannel partner payouts worked out by hand after each disbursal
With FaxtorDisbursal and commissionCommission worked out on disbursal and tracked as pending, partial or paid

What we built

Every file in one record. Every bank on one screen.

Leads, documents, applications, loans, bank applications, collateral and channel partner commissions, linked to each other. It runs in the browser on any laptop, phone or tablet, with access set by role.
